This website is run by PA Fitness, which also operates Quest Fitness. Both gyms are in Caerphilly.
In data protection terms, we are the controller for the personal information described on this page. That means we decide what we collect and what we do with it.

What this policy covers
This policy covers the information we collect through this website. It does not cover the membership systems we use, which are run by other companies and have their own privacy policies. There is more about that further down.
What we collect and why
When you use the contact form
The contact form asks for your first name, last name and email address. It also lets you add a phone number, choose which gym you are interested in, and pick a subject. You then write your message.
We use this to answer you. Nothing more.
The form sends everything straight to our email inbox. It is not saved to a database on this website, so the only copy we hold is the email itself.
Our lawful basis is legitimate interests. You have contacted us with a question, and we have an obvious interest in replying to it.
We keep enquiry emails for up to two years, then delete them. If your enquiry turns into a membership, your details will be held in the membership system instead and that has its own retention rules.
When you visit any page
Our hosting provider, SiteGround, keeps server logs. These record your IP address, the pages you looked at, the time you visited, and what browser you used. Every web host does this. The logs help keep the site running and protect it from attacks.
Our lawful basis is legitimate interests, specifically keeping the website secure and working properly.
When you join a gym
The join buttons on this website take you to a different company’s system.
- PA Fitness memberships are handled by ClubRight
- Quest Fitness memberships are handled by Ashbourne Management Services
Once you land on one of those sites, you are dealing with them, not with this website. They collect your details, take your payment and hold your membership record. Read their privacy policies if you want to know how they handle your information.
We do receive your membership details from them so we can run your membership, and at that point we are a controller for that information. This policy covers the website. Ask us directly if you want to know more about how we handle membership records.
Who we share information with
We do not sell your information to anyone and we do not pass it on for marketing.
A small number of companies handle information on our behalf because they provide the systems we use.

- Google provides the fonts and the maps used on this website
- jsDelivr provides some of the code libraries the website uses to work
We would also share information if the law required us to, or if we needed to in order to deal with a legal claim.
Where your information goes
Our website and email are hosted in the UK or the European Economic Area.
Google and jsDelivr operate globally, so loading a page may involve a transfer outside the UK. Where that happens it is covered by the safeguards those companies have in place, such as the UK addendum to the standard contractual clauses.
Your rights
Under UK data protection law you can ask us to do the following.
- Give you a copy of the information we hold about you
- Correct anything that is wrong
- Delete your information, where there is no good reason for us to keep it
- Restrict what we do with it while a query is sorted out
- Provide it in a portable format
- Stop using it, where we are relying on legitimate interests

If you are not happy with how we have handled something, you can complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113. We would rather you came to us first so we can put it right.
Keeping information safe
This website runs over a secure connection, so anything you send through the contact form is encrypted in transit. Access to our email is limited to the people who need it. The contact form has spam protection built in, which is why there is a hidden field on the form that you will never see.
No website can promise perfect security, but we take it seriously, and we review it.
Children
This website is aimed at adults. We do not knowingly collect information about children through it.
Quest Fitness runs a Kids Circuits class. Bookings for junior sessions are made by a parent or guardian through the membership system or in person, not through this website.

Changes to this policy
We update this page when the way we work changes. The date at the top tells you when it last happened. If we make a significant change, we will say so on the website.
